Privacy policy

This Privacy Policy explains how ReVerbal handles personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It should be read together with our Terms and Conditions, Data Processing Addendum, AI Transparency Statement, Sub-processors, and Data Locations pages.

1. Kinds of Personal Information We Collect

ReVerbal may collect and hold the following kinds of personal information:

  • teacher name and email address
  • account details and authentication information
  • transcript text, where you choose to save transcripts
  • AI-generated lesson summaries
  • technical and usage information, such as logs, session metadata, device/browser information, timestamps, and service events
  • support or contact information you provide to us

ReVerbal does not store raw audio recordings.

ReVerbal does not create or retain persistent biometric voiceprints or voice identity profiles.

2. How We Collect Personal Information

We collect personal information:

  • directly from you, including when you create an account, use the Service, contact support, or interact with our website or webapp
  • through your use of the Service, including when transcript text or summaries are generated or saved
  • automatically through technical processes such as logs, session records, error reporting, and security monitoring
  • from service providers that help us operate the Service, where applicable

3. How We Hold and Protect Personal Information

We hold personal information using cloud-based systems and service providers used to operate, secure, and support ReVerbal.

We take reasonable steps in the circumstances to protect personal information from misuse, interference and loss, and from unauthorised access, modification, or disclosure. These steps may include access controls, encryption in transit and at rest where appropriate, authentication controls, secure hosting, and internal access restrictions. OAIC guidance requires reasonable steps to secure personal information held by an entity.

No system can be guaranteed to be completely secure.

4. Purpose of Collection, Use and Disclosure

We collect, use, and disclose personal information for purposes including:

  • providing classroom transcription and optional lesson summarisation
  • operating and administering user accounts
  • storing transcripts where you choose to save them
  • maintaining, securing, troubleshooting, and improving the Service
  • responding to support requests and user enquiries
  • complying with legal, regulatory, and contractual obligations

We do not sell personal information.

We do not use personal information to train general-purpose AI models.

We may disclose personal information to service providers that help us operate the Service, including hosting, infrastructure, authentication, analytics, security, and speech-to-text or AI providers, where reasonably necessary for those purposes.

5. Overseas Disclosure

Personal information may be disclosed to service providers located in Australia and the United States.

In particular, speech-to-text processing is performed by Deepgram in the United States.

Where ReVerbal discloses personal information to overseas recipients, ReVerbal takes reasonable steps in the circumstances to ensure those recipients handle the information in a manner consistent with the APPs, including through contractual measures and technical safeguards where appropriate. Under APP 8, Australian entities must take reasonable steps before disclosing personal information overseas, and may remain accountable for the overseas recipient's handling in some circumstances.

6. Data Retention

Transcript storage is optional and controlled by the teacher.

If you choose to save transcripts, transcripts will remain available in your account until you delete them or your account is deleted, subject to any temporary backups, technical limitations, or legal retention requirements.

If you do not choose to save transcripts, transcripts are deleted immediately after the relevant session and are not retained by ReVerbal, except for limited transient processing, security logging, backup, or technical records reasonably required to operate, secure, troubleshoot, or improve the Service.

AI-generated summaries are retained only to the extent connected to saved transcript content, account records, support, security, backup, or operational requirements.

On account deletion, stored personal information will be deleted or de-identified in accordance with applicable law and our retention practices.

ReVerbal does not retain raw audio recordings.

7. Access and Correction

You may request access to personal information we hold about you, or request correction of inaccurate, out-of-date, incomplete, irrelevant, or misleading information, by contacting support@reverbal.com.au.

We will respond within a reasonable period, subject to any lawful grounds for refusal under applicable privacy law. OAIC guidance states APP privacy policies should explain how individuals may access and correct their personal information.

8. Complaints

If you have a complaint about how ReVerbal has handled your personal information, you may contact support@reverbal.com.au.

Please include enough detail for us to investigate the issue.

We will review the complaint and respond within a reasonable timeframe.

If you are not satisfied with our response, you may make a complaint to the Office of the Australian Information Commissioner (OAIC).

9. Anonymity and Pseudonymity

Where practicable, you may choose not to provide certain personal information. However, if required information is not provided, ReVerbal may not be able to provide the Service or particular features to you.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The current version will be published on our website and webapp with the updated effective date.
